GPS Location
Capture GPS coordinates with photo submissions for location verification.
Overview
The GPS Location feature captures the submitter's geographic position when they upload photos. This is essential for:
- Proof of location: Verify the submitter was at the expected location
- Fraud prevention: Detect suspicious submissions from unexpected locations
- Compliance: Meet regulatory requirements for location documentation
- Mapping: Visualize submission locations on maps
GPS Request vs Mandatory GPS
Key Difference
All plans request GPS location from submitters. Professional and Enterprise plans can make it mandatory.
| Plan | GPS Behavior |
|---|---|
| Free / Starter | GPS is requested but optional — users can deny and still upload photos |
| Professional / Enterprise | GPS can be set as mandatory — users must grant permission to proceed |
How It Works by Plan
Free / Starter Plans:
- Submitter opens the photo request
- Browser asks to share location
- If allowed: GPS coordinates are captured with photos
- If denied: Submitter can still upload photos (without location data)
Professional / Enterprise Plans:
- Submitter opens the photo request
- Browser asks to share location
- If allowed: GPS coordinates are captured with photos
- If denied: Submitter cannot proceed until permission is granted
Enabling GPS
All Plans (Optional GPS)
GPS location is automatically requested on all photo requests. The submitter will be prompted to share their location, but can decline and still upload photos.
No configuration needed — this is the default behavior.
Professional / Enterprise (Mandatory GPS)
To make GPS mandatory (blocking uploads without permission):
One-time Requests:
- In Step 3: Options of the request creation wizard
- Scroll to Additional Requirements
- Toggle Require GPS to ON
- Complete the request creation
Permanent Links:
- Open the GPS Location section
- Toggle Require GPS position to ON
- Save the Permanent Link
Professional Plan Required
The "Require GPS" toggle is only available on Professional and Enterprise plans.
Submitter Experience
When a submitter opens a photo request:
- Location prompt: Browser asks "Allow location access?"
- Decision: Submitter chooses to allow or deny
- GPS capture: If allowed, device captures coordinates
- Proceed: Based on plan settings (see below)
What Submitters See
- Clear explanation why location is needed
- System permission dialog
- Location icon indicating GPS is active (if granted)
- No visible coordinates (privacy protection)
Permission Denied
Behavior depends on plan settings:
Optional GPS (All plans default):
- Submitter can continue without sharing location
- Photos are uploaded without GPS data
- You receive photos but no location verification
Mandatory GPS (Professional / Enterprise):
- Cannot proceed with photo upload
- Shown explanation of why GPS is required
- Option to grant permission and retry
- Cannot bypass the requirement
Captured Data
For each submission with GPS enabled:
| Data | Description |
|---|---|
| Latitude | Geographic latitude (e.g., 45.4642° N) |
| Longitude | Geographic longitude (e.g., 9.1900° E) |
| Accuracy | GPS accuracy in meters |
| Timestamp | When location was captured |
Accuracy Levels
| Accuracy | Typical Source | Use Case |
|---|---|---|
| < 10m | GPS + WiFi | Precise location |
| 10-50m | Cell tower + WiFi | Neighborhood level |
| > 50m | Cell tower only | General area |
INFO
Accuracy depends on the device, environment, and available signals (GPS, WiFi, cell towers).
Viewing Location Data
Dashboard
In the request detail view:
- Map pin icon indicates GPS data available
- Map preview (if available)
PDF Reports
Generated reports include:
- GPS coordinates for each photo
- Optional map embed
- Accuracy information
- Capture timestamp
API
Location data is available via:
- Photo submission endpoint
- Webhook payloads
- Export functions
Privacy Considerations
Data Handling
- Location is captured only when required
- Stored securely with submission
- Accessible only to workspace members
- Included in data exports
Submitter Communication
When enabling GPS, consider:
- Explaining why location is needed
- Being transparent about data use
- Complying with privacy regulations
- Providing contact for questions
Best Practices
When to Require GPS
Recommended:
- Field inspections
- Delivery confirmations
- Insurance claims
- Security patrols
- Site visits
Not necessary:
- Office document photos
- Product photography
- User-generated content
- Non-location-specific tasks
Clear Communication
In your request description, explain:
- Why location is needed
- How it will be used
- Privacy protection measures
Example:
GPS location is required to verify you are at the property
address. Location data is used only for verification purposes
and is not shared with third parties.Handle Failures Gracefully
Some situations may prevent GPS capture:
- Indoor locations with poor signal
- Older devices without GPS
- Users unfamiliar with permissions
Consider:
- Providing alternative verification methods
- Clear instructions for enabling location
- Support contact for issues
Troubleshooting
"Location permission denied"
The submitter needs to:
- Open browser settings
- Find site permissions
- Enable location for the domain
- Refresh and try again
Poor GPS accuracy
Common causes:
- Indoor location
- Tall buildings nearby
- No GPS signal
- WiFi disabled
Solutions:
- Move outdoors or near windows
- Enable WiFi (improves accuracy)
- Wait for GPS to acquire signal
Location not captured
Check:
- GPS requirement is enabled on the request
- Submitter granted permission
- Device has location services enabled
- Browser supports geolocation
Technical Requirements
Browser Support
Modern browsers fully support geolocation:
- Chrome, Safari, Firefox, Edge
- iOS Safari, Android Chrome
- Requires HTTPS (automatically provided)
Device Requirements
- GPS hardware (built-in on most mobile devices)
- Location services enabled
- Browser location permissions granted
