Generate professional PDF reports from your photo submissions.

Overview

PDF Reports create formatted documents containing:

  • All submitted photos
  • Photo metadata (timestamps, locations)
  • GPS maps (when location enabled)
  • Submitter notes
  • Workspace branding
  • Organization tags

Reports are ideal for:

  • Client deliverables
  • Insurance claims
  • Legal documentation
  • Archive records
  • Sharing with stakeholders

Report Types

Single Submission Report

For one-time requests or individual Permanent Link submissions:

Generating Reports

One-time Requests

  1. Navigate to the request detail page
  2. Click PDF Report button
  3. Report downloads automatically
  1. Go to Permanent Link detail page
  2. Find the submission in the table
  3. Click the actions menu (⋮)
  4. Select PDF Report
  1. Go to Permanent Link detail page
  2. Click Export dropdown
  3. Select Complete Report
  4. Wait for generation (may take time for large reports)

Report Contents

Header Section

Every report includes:

  • Workspace logo (or Visiono default)
  • Workspace name
  • Report generation date
  • Timezone indication

Photo Pages

Each photo displays:

  • A4 format (standard)
  • Landscape for complete reports (better for photo grids)
  • Portrait for single submission reports
  • Optimized photo layouts

Download Options

PDF Download

Direct PDF file download:

  • Filename: visiono-report-{code}-{date}.pdf
  • Ready for printing or sharing
  • All content embedded

ZIP Download

Download all photos as ZIP:

  1. Click Download ZIP
  2. Get all original photos
  3. Organized by submission

API Access

Generate reports programmatically:

  • PDF report endpoint available via API
  • Pass request/submission ID
  • Receive download URL

Performance Considerations

Large Reports

For reports with many photos:

  • Generation may take 30-60 seconds
  • Progress indicator shown
  • Browser stays open until complete

Memory Usage

Reports with 50+ photos:

  • Higher server memory usage
  • Consider splitting into multiple reports
  • Use ZIP download for photos only

Best Practices

When to Generate Reports

Recommended timing:

  • After all photos are submitted
  • Before deadline expires
  • When ready for client delivery
  • For archive purposes

Include All Context

Before generating:

  • Add relevant tags to photos
  • Review submitter notes
  • Verify GPS data if important

File Management

  • Save reports with meaningful names
  • Include date in filename
  • Store in organized folders
  • Back up important reports

Troubleshooting

Report Won't Generate

  1. Check if photos exist in submission
  2. Verify browser allows downloads
  3. Try a different browser
  4. Check for popup blockers

Missing Photos in Report

  1. Verify photos weren't deleted
  2. Check if photos finished uploading
  3. Refresh the page and retry

GPS Maps Missing

  1. Confirm GPS was required
  2. Check if submitter granted location
  3. Verify photos have GPS data

Slow Generation

Normal for:

  • 20+ photos
  • High-resolution images
  • GPS with map generation

Tips:

  • Wait for completion
  • Don't close the browser
  • Try during off-peak hours
