Tags
Organize photos and requests with custom color-coded labels.
Overview
Tags help you categorize and find photos quickly:
- Custom labels you define
- Color-coded for visual organization
- Apply to individual photos
- Filter gallery by tag
- Included in PDF reports
Tag Properties
Each tag has:
| Property | Description |
|---|---|
| Name | Label text (e.g., "Damage", "Approved") |
| Slug | URL-friendly version (auto-generated) |
| Color | Hex color code for visual display |
Creating Tags
From Tags Page
- Go to Settings → Tags
- Click New Tag button
- Enter the tag name
- Choose a color
- Click Create
This is the recommended method for setting up your tag system.
When Tagging Photos
Tags can also be created on-the-fly:
- Open a photo in Photo View
- Click on the tags area
- Type a new tag name
- Press Enter to create
- Tag is automatically created with default color
Suggested Tags
Based on your usage, the system suggests:
- Previously used tags
- Common tags in your workspace
- Start typing to filter suggestions
Applying Tags
Single Photo
- View a photo
- Click the tags area
- Select existing tag or create new
- Tag applies immediately
From Gallery
- Open Gallery view
- Hover over a photo
- Click the tag icon
- Select or create tags
Multiple Photos
Currently, tags are applied one photo at a time. For bulk tagging:
- Use consistent naming
- Apply during review workflow
- Filter and verify by tag
Tag Colors
Default Color
New tags are created with a default green color (#10b981).
Custom Colors
To change a tag's color:
- Go to Settings → Tags
- Click the Edit button on the tag
- Choose a new color from the color picker
- Click Save
The new color applies to all uses of that tag across your workspace.
Color Suggestions

| 🔴 Red | Damage, urgent, issues |
| 🟢 Green | Approved, OK, complete |
| 🟡 Yellow | Review needed, pending |
| 🔵 Blue | Information, general |
| 🟣 Purple | Special, priority |
| ⚫ Gray | Archive, inactive |
Filtering by Tag
Gallery Filter
- Open gallery view
- Click tag filter dropdown
- Select a tag
- Only photos with that tag display
- Clear filter to show all
Dashboard
In request detail pages:
- Photos with tags show badges
- Click a tag to filter
- Multiple tags narrow results
Tags in Reports
PDF Reports
Tags appear in generated reports:
- Listed with each photo
- Color-coded badges
- Useful for categorization
API Access
Tags are included in:
- API responses
- Webhook payloads
- Data exports
Best Practices
Consistent Naming
Create a tag convention:

Limited Set
Keep your tag list manageable:
- 10-20 commonly used tags
- Clear definitions for each
- Review and consolidate regularly
Meaningful Tags
Use descriptive tags:

Workflow Integration
- Receive photos: No tags initially
- Review: Add status tags (review, approved)
- Categorize: Add descriptive tags
- Report: Tags included in PDF
- Archive: Tags help future reference
Tag Management
View All Tags
Go to Settings → Tags to see all your tags:
- Tag name and color
- Number of photos using each tag
- Number of photo requests using each tag
- Creation date
Editing Tags
To edit a tag:
- Go to Settings → Tags
- Click the Edit button on the tag row
- Change the color (name cannot be changed)
- Click Save
Tag Name is Permanent
Tag names cannot be changed after creation to maintain consistency across your photo requests. Create a new tag if you need a different name.
Deleting Tags
To delete a tag:
- Go to Settings → Tags
- Click the Delete button on the tag row
- Confirm the deletion
WARNING
Deleting a tag removes it from all photo requests. This action cannot be undone.

Troubleshooting
Tag Not Appearing
- Refresh the page
- Check tag was saved (notification)
- Verify in gallery filter list
Wrong Tag Applied
- Click the tag on the photo
- Click X to remove it
- Apply correct tag
Too Many Tags
If your tag list is cluttered:
- Review and consolidate
- Remove unused tags (when available)
- Standardize naming convention
