Tags

Organize photos and requests with custom color-coded labels.

Overview

Tags help you categorize and find photos quickly:

  • Custom labels you define
  • Color-coded for visual organization
  • Apply to individual photos
  • Filter gallery by tag
  • Included in PDF reports

Tag Properties

Each tag has:

PropertyDescription
NameLabel text (e.g., "Damage", "Approved")
SlugURL-friendly version (auto-generated)
ColorHex color code for visual display

Creating Tags

From Tags Page

  1. Go to SettingsTags
  2. Click New Tag button
  3. Enter the tag name
  4. Choose a color
  5. Click Create

This is the recommended method for setting up your tag system.

When Tagging Photos

Tags can also be created on-the-fly:

  1. Open a photo in Photo View
  2. Click on the tags area
  3. Type a new tag name
  4. Press Enter to create
  5. Tag is automatically created with default color

Suggested Tags

Based on your usage, the system suggests:

  • Previously used tags
  • Common tags in your workspace
  • Start typing to filter suggestions

Applying Tags

Single Photo

  1. View a photo
  2. Click the tags area
  3. Select existing tag or create new
  4. Tag applies immediately
  1. Open Gallery view
  2. Hover over a photo
  3. Click the tag icon
  4. Select or create tags

Multiple Photos

Currently, tags are applied one photo at a time. For bulk tagging:

  1. Use consistent naming
  2. Apply during review workflow
  3. Filter and verify by tag

Tag Colors

Default Color

New tags are created with a default green color (#10b981).

Custom Colors

To change a tag's color:

  1. Go to SettingsTags
  2. Click the Edit button on the tag
  3. Choose a new color from the color picker
  4. Click Save

The new color applies to all uses of that tag across your workspace.

Color Suggestions

Filtering by Tag

  1. Open gallery view
  2. Click tag filter dropdown
  3. Select a tag
  4. Only photos with that tag display
  5. Clear filter to show all

Dashboard

In request detail pages:

  • Photos with tags show badges
  • Click a tag to filter
  • Multiple tags narrow results

Tags in Reports

PDF Reports

Tags appear in generated reports:

  • Listed with each photo
  • Color-coded badges
  • Useful for categorization

API Access

Tags are included in:

  • API responses
  • Webhook payloads
  • Data exports

Best Practices

Consistent Naming

Create a tag convention:

Limited Set

Keep your tag list manageable:

  • 10-20 commonly used tags
  • Clear definitions for each
  • Review and consolidate regularly

Meaningful Tags

Use descriptive tags:

Workflow Integration

  1. Receive photos: No tags initially
  2. Review: Add status tags (review, approved)
  3. Categorize: Add descriptive tags
  4. Report: Tags included in PDF
  5. Archive: Tags help future reference

Tag Management

View All Tags

Go to SettingsTags to see all your tags:

  • Tag name and color
  • Number of photos using each tag
  • Number of photo requests using each tag
  • Creation date

Editing Tags

To edit a tag:

  1. Go to SettingsTags
  2. Click the Edit button on the tag row
  3. Change the color (name cannot be changed)
  4. Click Save

Tag Name is Permanent

Tag names cannot be changed after creation to maintain consistency across your photo requests. Create a new tag if you need a different name.

Deleting Tags

To delete a tag:

  1. Go to SettingsTags
  2. Click the Delete button on the tag row
  3. Confirm the deletion

WARNING

Deleting a tag removes it from all photo requests. This action cannot be undone.

Quality Control

Tag workflow:

  1. needs-review: Initial state
  2. approved: Passes inspection
  3. rejected: Needs retake
  4. escalated: Requires attention

Insurance Documentation

Tag by claim aspect:

  • exterior-damage
  • interior-damage
  • pre-existing
  • new-damage

Property Inspection

Tag by area:

  • kitchen
  • bathroom
  • bedroom
  • exterior
  • maintenance-needed

Vehicle Documentation

Tag by position:

  • front
  • rear
  • left-side
  • right-side
  • dashboard
  • damage

Troubleshooting

Tag Not Appearing

  1. Refresh the page
  2. Check tag was saved (notification)
  3. Verify in gallery filter list

Wrong Tag Applied

  1. Click the tag on the photo
  2. Click X to remove it
  3. Apply correct tag

Too Many Tags

If your tag list is cluttered:

  • Review and consolidate
  • Remove unused tags (when available)
  • Standardize naming convention
